About the Department
Operations are responsible for keeping the lights on; we are at the front line on the Network. If we find a fault, it is our responsibility to respond to the fault, and dispatch our skilled teams to fix it as quickly as possible. We work in all hours, and through all weathers, ensuring our customers are never without power.
What is the Role
As Executive Assistant, you will provide administrative and professional support to the Distribution System Operations Director, other Directors and the wider DSO management team, pro-actively managing every aspect of their day to ensure appropriate support is given to allow them and their leadership team to best utilise their time.
This will involve comprehensive diary management; managing email and other business communication; minute taking; organising internal and external events for the Directorate they cover; booking travel and other facilities for the Directors and, when needed, approving travel, IT and Purchase Requests on their behalf for their first reports. Your duties will also cover managing the professional, timely, accurate compilation and distribution of highly confidential documents across the directorate. i.e. Board Papers, Board packs, Committee documents as well as the provision of Managing Director admin support cover for periods of annual leave.
What do I need?
The role will require full understanding and compliance to company guidelines and approval levels for procurement, IT as well as Travel, GDPR and Business Separation amongst others. It is therefore vital that you have a full understanding of the relevant company policies and constraints as well as a working knowledge of SSE Networks, the environment it operates in as well as its organisational structure. You must also be fully competent in the use of O365 tools such as Power Point, Work, Excel, Sharepoint and Teams.
You will be required to challenge and investigate where out-of-policy requests are made to ensure all other options have been exhausted (and assist others by providing alternative options), therefore a level of people management by proxy, as well as understanding of financial and budget constraints for the Directorate is required. Comfortable challenging your peers and superiors where appropriate whilst maintaining good working relationships will be key. You must therefore be highly professional, level headed with excellent communication skills and the gravitas and ability to carry authority and build trust/confidence at senior management level with a positive attitude to personal and corporate safety culture
